Human Resources Support Officer

The position supports the day-to-day administration of recruitment, onboarding, induction, personnel records, training coordination, performance review administration, HR correspondence and HR data integrity. The role applies established organisational procedures, approved templates, checklists and recordkeeping systems to ensure accurate, timely and confidential HR administration. The role contributes to a culturally respectful workplace and supports the delivery of responsive services within the workplace environment.

Position Description

Key Responsibilities

  • Provide day-to-day HR administrative support to the Senior Human Resource Officer and Human Resources Manager in accordance with approved organisational policies, procedures, templates and delegated instructions.
  • Maintain accurate and confidential employee records, personnel files, recruitment files, training records, induction documents and HR registers.
  • Enter, update and check HR information in approved systems and spreadsheets to support accurate workforce records and reporting.
  • Assist with document control, version control, filing, scanning, archiving and secure storage of HR records.
  • Monitor routine HR administrative tasks and follow up outstanding documents, forms or approvals within established timeframes.
  • Maintain confidentiality and privacy when handling employee, applicant and organisational information.
  • Assist with all aspects of recruitment in conjunction with hiring manager, from end to end ie position description review to induction of new employees.

Mandatory Requirements

  • Minimum Certificate III in Business Administration (or willing to obtain)
  • Previous HR experience an advantage
  • Current QLD Drivers license
  • Current First Aid Certificate or ability to obtain one
  • Current Working with Children Check “Blue Card” or ability to obtain one

Selection Criteria

1. Cultural capability and respectful practice Demonstrated ability to communicate and work respectfully with Aboriginal and Torres Strait Islander peoples and contribute to a culturally safe workplace and service environment.

2. Human resources administration support Demonstrated ability, or ability to quickly learn, routine HR administration processes including recruitment documentation, onboarding paperwork, induction records, training registers, personnel files and performance review administration.

3. Work under general direction
Ability to work independently on allocated tasks under general direction, apply established procedures, use judgement in routine administrative matters and escalate complex or non-routine issues appropriately.

4. Confidentiality and discretion
 Demonstrated ability to maintain confidentiality, privacy and professional boundaries when handling sensitive employee, applicant and organisational information.

5. Communication and customer service
 Well-developed verbal and written communication skills, including the ability to communicate respectfully with applicants, staff, managers, service providers and community members.

6. Technology and systems
 Competency in Microsoft Office applications, including Outlook, Word and Excel, and the ability to use or learn HR, records and organisational information systems.
